Negotiation system for Pantaloon's Vendor Management Platform, streamlining Purchase Order approvals and communication


This is a workflow optimization solution for Pantaloons, a high-volume retail company involving Assistant Buyers, Senior Buyers, VP of Buying and their network of 100s of Domestic and International Vendors. The feature introduced negotiation threads and status tracking to improve communication, transparency and decision-making speed.

The challenge

Pantaloons discards 800 - 1,000 samples of lifestyle products every quarter. To address this issue, teams organize internal sample sales for employees. The current system is disorganized requiring manual coordination for allocation, and adds a significant burden in managing requests.


Announcements for sample sales happen over fragmented channels like emails, messages and word-of-mouth leading to poor discoverability and visibility among employees.

Integration & Entry Point

A key design challenge was deciding where the staff sample store feature should live within the E-commerce website. We explored multiple entry points like a floating action button, main navigation integration and toggle. Toggle seemed the most intuitive location, as it allowed instant mode switching without disrupting the user's current browsing context.

150+ buyers (Associate Buyer, Assistant Buyer, Senior Buyer and VP of Buying) managing 18 in-house Pantaloons brands, and 200+ domestic and international vendors and their teams who collaborate in the procurement process.

The marketplace solution transformed sample management from a manual, wasteful process into a streamlined revenue-generating system while significantly improving staff engagement and operational efficiency.
